What is a Job?

A Job is a single task or piece of work assigned to your team, where all related details are stored and managed. It represents any scheduled activity such as a visit, repair, maintenance, or inspection that needs tracking and accountability.

Navigate to the section by clicking it.

 

Using Mobile

View and Filter Schedule Page

  1. At the mobile app’s navigation bar, go to Schedule.



  2. Scroll to the left or right to search for a job using the date.



  3. Click on the date you want to view.



  4. Click on the job to open the job details page.



  5. Click on the basic filter options to filter the job on that day.



  6. For example, only pending jobs will be shown if click on the “Pending Job” option.



  7. Click on the “Filter” icon to apply more filter to narrow your searching. 



  8. You will find more filters that you can use right on this page. These filters can be used to find specific jobs from the schedule, using the sequence number, category, or even the assigned users to the job.


  9. If you need more field to use as filter, click the “three dots” icon.



  10. Click “Advance Filter Options”.



  11. Select extra fields to filter the job.



  12. Click on the “DONE” button.



  13. Use the filter to filter the job.



  14. For example, select “Needing Attention” for job status and click “SEARCH”.



  15. Jobs with the filter will be shown as below.

 

How to Update Job Status

  1. In the “Schedule” Page, click on the job that you want to update the Status to Completed.

  2. Tap on the Job Status button.



  3. Once you have tapped on the button, you will find a list of the status that was set for the account, tap on any of the statuses to have it updated. In this example, we will choose the Completed status. 



  4. The Job will now show Completed as the status and will reflect on all reports as well as on the Job Schedule.


 

How to Comment To-Do List

  1. n the “Schedule” Page, click on the job that you want to comment on.

  2. Click the Camera icon.

     

  3. Take a photo of the item that is required for you to upload.

  4. Tap on “Done”.

  5. Write in the comment area for any details that you are required to include.

  6. The photo you took will now show up in the Updates area of the Job Details page.

How to Perform Check-In/Check-Out

  1. Search for the Job that you wish to check-in to from the Job Schedule page.



  2. Once you have opened the Job Details, it will appear as such.



  3. Scroll down on the page until you see the To-Do List section, as shown below.



  4. Tap on the Check-In button from the To-Do List.
     


  5. It will open a pop-up for you to perform your check-in, you may confirm the location in the map, and tap on Check-In to proceed.



  6. Once you have successfully checked-in, it will be updated as progress in the To-Do List. 




  7. After you have finished with the current task and you wish to check-out, simply head back to the To-Do List for the specific job. 



  8. Tap on the Check-Out button.



  9. It will open a pop-up for you to perform your check-out, you may confirm the location in the map, and tap on Check-Out to proceed.



  10. Completing the Check-Out will update the To-Do List progress, and once everything in the To-Do List is completed, you may proceed to the next steps required for the Job.

 

How to Alert People on the Job

  1. In the “Schedule” Page, click on the job that you want to comment on.

  2. Scroll down to view the assigned people on the job and select the people that want to alert on the job. For example, Caction Admin Support as shown below.

  3. A pop-up is shown with the message, "Alert Updated." that signifies that the person has been alerted. Once the pop-up is closed, the icon of the person that has been alerted will has been updated yellow colour.

 

Using Desktop

Disclaimer: Desktop version of Caction for technician requires access from admin.

View and Filter Job Schedule Page

  1. At the desktop site navigation bar, go to Business Management > Schedule > Job Schedule.

  2. On the job schedule page, a calender is displayed along with the scheduled jobs on each date assigned to the technician.

  3. Click “Filter” to expand or show the filter bar.

  4. Edit the filter to filter the job.

  5. Jobs with filter will be shown.

  6. Click on the filter bar.

  7. Click on the filter variable you want to filter the jobs.

  8. Select the filter value you want.

  9. Click on the "Done" button.

  10. The jobs with the filter will be shown as below.

 

How to Update Job Status

  1. Click on the specific job that you wish to update its status in the Job Scheduler page. It will open the specific job in the sidebar as shown below.

  2. Click on the status dropdown as shown below.

  3. Select the specific status that you want for the job.

  4. Once you have selected a status, you can proceed with clicking the "Save" button.

  5. The job status will be updated according to your job status.

 

How to Comment on To-Do List

  1. Click on the specific job that you wish to view in Job Scheduler page.

  2. Click on the "Comment" button as highlighted below.

  3. You will now see the Comment Updates Sections, which will also show the details on all the status updates that was made for the job itself either you or others.

  4. Technician can update their progress in using text and upload attachment in the comment section to alert the admin from within the jobs itself should something required the Admin's attention and approval.

 

How to Alert People on the Job

  1. Click on the specific job that you wish to view in Job Scheduler page.

  2. Scroll down on the job details until the it reaches the details located below the reminder dropdown bar.

  3. Hover the cursor over on one of the assigned user to show a bell icon and click on it to activate the alert for that assigned user.

  4. Once the alert is activated, the assigned user icon will now change colour to yellow to indicate that the user has been alerted.

 

Check In/Check Out on Desktop

Important: This action can be performed only in the Caction app. It is not available on the web version.
