FSM | Assigning Jobs to Your Team Members

Job creation and assignment play a vital role in maintaining a well coordinated workflow within your organization. Assigning Jobs to Technicians does not have to be time consuming or complicated. With Caction, Admin can create Jobs, assign them to the right Technician, and review all related details such as Customer information, Job scope, Assets, Schedules, and notes within a single page.

1. How to Create a Job on Desktop?

Whether you are in the office or on the move, Caction helps you create new Jobs effortlessly. Using the Desktop or even your Mobile App, you can schedule Jobs quickly and keep operations running smoothly wherever you are.

  1. At the Desktop site’s navigation bar, go to Job Schedule.  

 

  1. Click on the “+ Add Job” button to add new Job.

Important Note: If you do not see a “+” button, you may need to request permission or help from your management to create Job.

 

  1. Select the Job category and click on "Save".

Important Note: Please select the correct Job category before proceeding. Each category may have specific requirements depending on its purpose.

 

  1. Key in all the necessary information in the Job details. Available fields may differ depending on your company’s system setup.
Field Name Description
Select Job Category* Classifies the type of job.
Status* Indicates the current status of the job.
Select Site/Customer Choose a customer from those registered in the system. After selecting Customer, you will be asked to select Project under that Customer.
Select Asset Choose an asset from those registered in the system.
Job Start End Date* The date range when the job is planned to start and end.
Recurrent Job Indicates if the job reoccurs.
Assigned User The user responsible for the job.
Reminder Set a reminder for the job.
Description Detailed description of the job.

Important Note: Fields marked with an asterisk ( * ) are required

 

Important Note: Select the required Assets when creating the Job.

Important Note: You can "Save" the Job first and assign Technicians later if needed. However, if you already know who will handle the Job, it’s best practice to assign them immediately. If you wish to assign a Technician now, please follow the steps in the article below.

 

2. How to Assign Job to Technicians on Desktop?

There are two ways to assign a Job. You can assign it to the entire department or assign individual Technicians when only specific users are required.

  1. Assign by Department

Use this method when a specific department handles an a Job. Select the Department field in the assignment section.The job will appear in the queue for all members of that department.

 

  1. Assign by Individual User

Use this method when you know exactly who should perform the task. Select Assign User. Search for and select the specific Technician’s name from the dropdown list.

 

  1. Check Conflicts Function

Before finalizing the Job assignment, always check your Technicians availability to avoid scheduling conflicts or double-booking.

  1. In the Assign User popup, search for or locate the Technician within their specific department (e.g., Technician KL). Check the box next to their name to select them.
  2. Click the Check Conflict button located at the bottom of the window.
  3. The system will instantly compare the Job's scheduled Start/End Date Time with the Technician's current schedule.

Success A green notification appears in the top-right corner stating checking done there is no conflict detected This confirms the Technician is free to take the job
Conflict A pop-up window appears showing conflicts detected with details of the clashing job such as the date time and who is already assigned You can either change the time of your new job or choose a different Technician that is free

Returning to step "1.d" in the guide How to Create a Job on Desktop, once you have completed the Technician assignment part, you can proceed to Save the Job.

 


3. How to Create a Job on Mobile App ?

  1. At the mobile app’s navigation bar, go to Schedule. Click on the “+” button to add new Job. 

Important Note: If you do not see a “+” button, you may need to request permission or help from your management to register new Job.

 

  1. Select the Job category.

Important Note: Please select the correct Job category before proceeding. Different categories may have different requirements for different purposes.

 

  1. Fill out the details of the new job. Available fields may differ depending on your company’s system setup.
Field Name Description
Select Job Category* Classifies the type of job.
Status* Indicates the current status of the job.
Select Site/Customer Choose a customer from those registered in the system. After selecting Customer, you will be asked to select Project under that Customer.
