Digital Form Dashboard

The Digital Form Dashboard provides a centralized platform to track essential operational documents across statuses like Drafted, Completed Pending Payment, and Completed with Payment. It supports distinct forms including Quotations, Installation & TC, PM Reports, Delivery Orders, and Service Reports. Users can filter by date range, category, and search for specific clients.

Navigate to the section by clicking it.


*Note: This guide can also be applied to Job and Project Dashboard.

  1. On the desktop navigation bar, navigate to Business Management > Dashboard > select your desired Digital Form, such as Quotation, Installation, PM Report, Delivery Order, or Service Report.

    *For this guide, we will be using Quotation Digital Form as the example.

  2. There are four choices at the top-right corner of Digital Dashboard page. You can click on them to enter other dashboards and into other Digital Form Dashboard pages. 

Select Digital Form Status

  1. You can click the Digital Form status that you want to view.


  2. For example, if you select “Accepted”, the dashboard will display the accepted forms as shown in the picture below.

Change Digital Form Status

  1. You can change a digital form status by dragging the digital form card. For example, if you want to change the status of a digital form from "Created" to "Pending Customer Feedback".


  2. Just hold left click on your mouse on the digital form card and drag it to "Pending Customer Feedback" column.


  3. Click “Update” to confirm your digital form status update.


  4. The digital form status has been changed successfully when this prompt appears.

View the Digital Form Card

  1. The digital form cards allow you to view essential details in a single view.


  2. The digital form card displays the ID, Customer Name, Company Name, and Status.


  3. The digital form card also displays the Creation Date, Total Amount of Product/Services, and the Assigned Users of the form. 

View Full Digital Form

  1. You can view the full digital form by clicking a digital form card of your choice. There will be a full digital form information displaying on the left. 


  2. The top section displays quick-access actions for the digital form, including the Viewing of the full digital form, Comments, and Close.


  3. Clicking the three-dot icon expands an options menu for additional digital form actions, such as to edit, copy, and delete the form.


  4. Clicking this part will prompt you more options to change status and alert a user.


  5. You can update the status of the digital form, you can alert a user that is already assigned in the digital form, and you can assign and alert a user that is not currently assigned in the digital form. Make sure to click "Save" after all the changes. 


  6. By default, this section displays the information of the digital form, such as the Company details, Job details, Creation date, Created By, and Assign/View List. 


  7. If you scroll down further, you can see more details of the digital form such as the Type and the Validity. There will also be a section for the calculation of the Products or Services.


  8. If you scroll further down, there will be a section for the Acknowledgement and Feedback and Generated PDF. You can click the "Generate PDF" button in order to generate a new PDF or update the current one. 


  9. The last part of this section will display the comments. You can add comments by clicking "Type a comment".

Filter

  1. Click on this filter bubble if you want to sort the order of digital forms by creation date.


  2. The default filter value sorts the digital forms by ascending order. You can change it to sort by descending order based on your preference.


  3. Click on the filter bubble if you want to change the digital form date range. You can select the digital form date range filter based on your own preference.


  4. Click “Done” to apply selected the digital form date range.


  5. Click on this filter bubble if you want to filter digital form dashboard by digital form category. 


  6. Select/unselect the digital form category by ticking/unticking them. Click done to apply the changes.

Search Filter

  1. Click on the search bar to filter for digital form


  2. Click on the group you want to filter. For example, click “Quotation".


  3. And then, Click on the filter variable you want. For example, click “Address”.


  4. Click on the operator you want. For example, select “Contain”.
    Operator Definition
    Contain The system displays all matching results. The search is not case-sensitive, which helps find records when you are unsure of the exact name.
    Not Contain The system displays all relevant results except the excluded filter values. This search is not case-sensitive.
    Equal The system displays only exact matches. This search is case-sensitive, making it ideal to use if you remember the exact name.
    Not Equal The system displays all relevant results except the exact matches. This search is case-sensitive.



  5. Click on the search bar and type the filter value you want to search.


  6. After you input the filter value on the search bar, press Enter key on your keyboard.


  7. The filter applied will show in the filter bubble and the result will be shown as below.

Favourite Filter

  1. If you want to save the filter from the previous steps, you can click the star ☆ and add it as a Favourite Filter.

Default Filter

  1. If you want to save a filter as the default, click the star ☆ and select a filter as your Default Filter.

Clear All Filter

  1. If you want to clear all filters that you have applied manually, click “Clear All”.

*Note: The first three filter bubble are system default filters, these filters will not be cleared by clicking “Clear All”.


Refresh Page

  1. Click on the refresh button to ensure all newly created digital forms or changes in digital form status are shown on this page.
